Terms and Conditions for One Vision Photography Portrait Sessions These Terms and Conditions govern the use of services provided by One Vision Photography. By booking a session or purchasing a promotion, you agree to these terms. This agreement complies with applicable UK law, including GDPR (General Data Protection Regulation).
1. Non-Refundable Policy All portrait sessions, gift vouchers, and Xperience promotions, whether physical or electronic, are non-refundable. Appointments must be booked within 3 to 6 months of purchasing or receiving the voucher.
2. Eligibility A family is defined as a group consisting of parent(s) and their children. Acceptance of other group configurations is at the sole discretion of the studio. Clients must be 18 years or older to book a session. Persons under 18 may attend a session, but only with a parent or legal guardian present.
3. Promotions and Vouchers Promotions, gift vouchers, and e-vouchers are valid for one session per household within a 12-month period. They cannot be combined with other offers, transferred, or exchanged for cash or other services.
4. Booking Deposit A refundable deposit of £75 is required to secure your appointment. This deposit guarantees your booking and helps limit non-attendance.
5. Cancellation and No-Show Policy • Failure to attend an appointment or provide at least 3 working days’ notice for rescheduling will result in forfeiture of the deposit. • If you are unable to attend, you must notify us within the specified time to avoid losing your session fee or voucher.
6. Rescheduling Policy • Clients may reschedule their session once, provided they give a minimum of 3 working days’ notice. • Weekend bookings (Friday-Sunday) require a minimum of 7 days’ notice for rescheduling. • Failure to provide sufficient notice will forfeit the deposit or session fee, and a new deposit will be required to rebook.
7. Session Attendance • Appointments are non-cancellable but may be rescheduled as per the terms above. • Late arrivals up to 15 minutes may result in a reduced session time, and we cannot guarantee full services. • Clients arriving more than 30 minutes late will forfeit their appointment and deposit.
8. Preparation for Sessions Clients are advised to bring at least one change of clothing for variety in their images.
9. Viewing Sessions Clients must attend their scheduled viewing session. Failure to attend will void any promotional offers, and any images not purchased during the session may be deleted.
10. Image Purchases • Images are only available for purchase during the viewing session. • Prices and product options will be provided prior to the session. Unpurchased images may not be retained, and this is at the sole discretion of the studio.
11. Copyright • All images produced remain the intellectual property of One Vision Photography. • No personal photography, filming, or use of devices is permitted during the session. • Copyright is transferred only upon purchase and is limited to personal use.
12. Digital and Print Usage • Purchased digital files include a print release for personal use only. • Credit to One Vision Photography is required when sharing images on social media. • We are not responsible for the quality of prints not ordered through our recommended professional labs.
13. Retouching Policy Images are retouched at the discretion of One Vision Photography. Enhancements are limited to minor edits such as blemish removal. Alterations to physical features beyond this scope will not be performed.
14. Model Release Unless otherwise stated in writing before the session, you agree to allow One Vision Photography to use images from your session for marketing, promotional purposes, and social media. If you prefer not to have your images shared, you must notify us in writing prior to your appointment.
15. CCTV and Studio Conduct • For safety and security, CCTV operates on the premises. Recordings are used solely for security purposes and comply with GDPR. • Personal photography or filming during sessions is strictly prohibited.
16. GDPR Compliance and Data Protection • Any personal data collected during booking or communications will be stored securely and used only for the purpose of providing photography services or relevant updates. • We will not share your information with third parties without your consent. • You may request access to your data, ask for corrections, or request deletion by contacting us directly.
17. Product Collection Purchased prints and products must be collected within 30 days. Uncollected items may be disposed of after this period. This does not affect your statutory rights.
18. Liability • One Vision Photography is not responsible for the loss or damage of personal belongings brought onto the premises. • While every care is taken, we are not liable for unforeseen circumstances beyond our control.
19. Session Availability All appointments are subject to availability. In the event of unavoidable changes, One Vision Photography reserves the right to reschedule sessions with sufficient notice.
20. Applicable Law This agreement is governed by the laws of England and Wales, and disputes will be subject to the exclusive jurisdiction of English courts.
21. Marketing and Communication By booking with us, you consent to receiving service-related communications. You may opt out of marketing emails at any time.
22. Image Usage by One Vision Photography We reserve the right to use images for portfolios, exhibitions, and promotional materials. If you wish to opt out, please provide written notice before your session.
